HR Technology Case Scenario: Introduction

Human Resource management teams work with the performance of activities such as bookkeeping, upholding policies and guidelines, employee performances, and ensuring labor laws are enforced. Human resource managers use information systems to help in their daily duties of payroll, training, and organizations of personnel files. Human Resource managers develop analyzes functions and determine the type of Human Resource Information system application is necessary to automate and create a strategic alliance for the Human resource department. The importance of determining the type of human resource information system application is to define which system can help make a business run more smoothly. A system is used to store, manipulate, analyze, acquire, retrieve and distribute important information. These systems will help Human resource managers by providing them with more data on strategic levels and allow for the function of more efficient and better information for decision making.

HRIS Definition:

HRIS is also known as the Human Resource Information System which is "a computer database used to gather, store, maintain and retrieve relevant employee and HR-related information."(2011 Hardy, CL) There are many automated systems and third party companies that can assist with organization within a company for example there are third party payroll companies that will assist in organizing employee payroll, taxes, and ensuring that this is one less worry that Human Resource Manager has to be concerned about. Many HRIS are software programs that are used by HR managers who can access all information at the touch of their office computer depending on the size and the financial revenue of a company HRIS can be what any company will need to be organized and ahead of the business.

HRIS Payroll System type:

A payroll system is an important part of running a successful business, if a proper payroll system is not implemented problems can arise such "bonuses be miscalculated, benefits elections not be implemented, or a paycheck be miscalculated or (worse still) not delivered, and employees become vocal."(Kavanagh, M. & Thite M) Payroll is the number contribution to running a business smoothly so having the proper plan of action of how to control payroll is by creating a workable payroll system. A payroll system is a "process used to administer the financial record of employees' salary, wages, bonuses, net pay and any related deductions."(2011 Hardy, CL) If a company decides to use a payroll system the system is used by human resource managers who can use the system as an organizational process of tracking employees by their information of name, date of hire, social security number and address which can be easily stored and found when having to input payroll information. There are two types of payroll integrations local and physical, "local integration means the human resource systems use the same codes, numbers and fields to capture information and physical integration means all of the human resource systems are contained on the same server network within the suite of products."(2011 Hardy, CL) If this type of system is not an option for some companies depending on their size for a large company they may use the integration process of payroll, for small or medium size companies they may go towards hiring a third party company to help with the payroll process. "In a PricewaterhouseCoopers study performed in 2004, half the companies surveyed chose to outsource the payroll process. The remaining half chose to implement an internal software system solution. Companies with less than 500 employees show a slight increase in selecting outsourcing over an HRIS payroll system. Castle's Family Restaurant is a family restaurant of 8 different locations across the northern California area which employee's 300-340 employees with approximately 40% of them full time. Castle's Family restaurant may be a company of 300-340 employees but that does not mean that the restaurant will not continue to expand and to save Mr. Morgan from his time of printing payroll checks and delivering them he should opt for having a HRIS payroll system which can help him in the payroll process and if necessary he should maybe put together a Human Resource team that can help assist him.

HRIS Vendor Choice:

Two vendors that Mr. Morgan has the option of choosing to help assist him in the payroll system are HRnetSources and HRMS Solutions,
