EXECUTIVE SUMMARY

This document analyzes a scenario where Air Euro is relocating its headquarters in order to expand its operations and cater to an increasing customer base.

For this purpose, the document thoroughly reviews the scope of this project and lists out various issues that are important to successfully carry out the relocation project. Further, the document identifies eight risks that can hinder the successful completion of the project and tries to device strategies in order to mitigate these risks.

In addition, the document tries to identify major milestones in project completion and attempts to identify various personnel that shall be responsible for the successful completion of the project.

INTRODUCTION

Air Euro is a low cost airline headquartered close to Schiphol Airport, Amsterdam. The airline has been experiencing a steady growth since its establishment 10 years ago. Also, the airline expects a steady growth in the number of passengers in the near future. For this purpose, the airline is planning to undertake an expansion plan. Falling in line with the expansion plan, the airline is planning to recruit pilots as well as ground staff. A major problem in respect to the expansion plan lies in relocating the head office to a location that is 30 km from the airport. The new office would need to accommodate a staff of 300 personnel. Moreover, the move needs to be completed within a short span of six months. For this reason, a newly built office (that exactly fits the requirement of the airline) is not an option. The airline thus is on the lookout for an office that is suitably prebuilt. Accomplishment of the project shall require the transfer of office equipment including photocopy machines, fax machines etc. However, the move shall not involve the transfer of office furniture.

The airline thus has appointed one of its original senior managers to oversee various aspects of the project.

REVIEWING PROJECT SCOPE

Following are the key issues that need to be included in the scope of the project:

Initial Requirement analysis- A key issue to be included in the scope of the project is an assessment of initial project requirements (Buttle, 2004). This includes assessing the actual number of employees that shall be hired, the number of divisions that need to be present in the physical office space, communication between various departments, cost that shall be incurred in the process of moving, distance from the airport, transport facilities etc (Buttle, 2004).

Budgeting- Another key issue that needs to be included in the scope of the project is the construction of a proper budget and deciding the amount of negotiations that can be allowed (Buttle, 2004). Since the airline is a low cost carrier and is looking out for an office where the rent and other related expenditures are less than the company is currently incurring, a fair idea on the available budget needs to be in place (Buttle, 2004). In addition, the margin that can be provided while negotiating expenditures needs to be decided (Buttle, 2004).

Accessing the connectivity- An important issue to be included in the scope of the topic is to judge the connectivity of the new location (Buttle, 2004). This office space is required for an airline and would require the staff to access the airport and other facilities. Thus, it is important for the office space to be well connected with the airport and other basic amenities (Buttle, 2004).

Adequate space- Since the office needs to accommodate a large staff and needs proper conference and training rooms, space requirements need to be clearly identified (Buttle, 2004). A clear assessment needs to be made in terms of which department would require how much space.

Audits- This concerns with accessing the current location of all the IT related equipment in the current office (this includes possessing a site map of all locations) along with a detailed plan of where this equipment shall be placed in the new office (Buttle, 2004). Moreover, a detailed plan concerning the move of the rest of the equipment needs to be made.

Business Continuity- One major issue of relocating the airline headquarter is maintaining the business continuity (Buttle, 2004). Since the move involves moving the entire current staff to a new location along with essential office materials, it might disrupt business continuity. Thus the move needs to be to a location where the entire process can be carried out smoothly within a short period of time (Buttle, 2004).

Time planning- The move needs to be undertaken over a relatively short period of time and will involve a move of all personnel along with equipment (Buttle, 2004). The new office location needs to be such were the entire arrangement of the current office can be easily transferred (Buttle, 2004).

Furnishing- This concerns with carrying out a detailed assessment of the furnishing requirements. Since none of the old office furniture is to be transferred to the new location, the current level of furnishing in the office needs to be properly accessed
