Re: Project Budget
Introduction:
This memo is in reference to last week's memo which discussed the company's offsite training session in hopes to introduce the new compliance system. As previously discussed, the training session will take two days and will be from January 20th and the 21st. Each of those days will be an eight hour training session. Please refer to the last memo which has already discussed the project's overall budget as well as the duration and the materials.
Project Updates:
To help accommodate the amount of people that will attend the training, both hotel and flight bookings have already been booked. Moreover, the venue has already been paid and reserved to hold the event. Catering the event has also been taken care and arranged. All the necessary hardware have been purchased that will aid in the training sessions and all within the suggested budget.
Furthermore, to ensure that no unplanned issues arise, there will be some methods of measurement that will be needed if any issues or additional resources are to be added to the overall session:
* Evaluation Surveys - the teams that will attend the training sessions are able to provide feedback. This can take place after each project phase. The project team will be able to identify what expectations they have, they are also able to define the issues that they face and thus, be able to determine what is needed to rectify the problems and if any of the training phases are in need of any adjustments.
* Project Change Control - This process is the process in which any changes that are needed to be done should be followed. More importantly, any changes that need to be done should first be approved by the upper management and the stakeholders. However, this should not give the impression that no changes can be made, but that it needs to be authorized.
Conclusion:
Since the whole training process is well organized and meeting the overall budget, the team strongly believes that it will be a successful event. It is imperative however, to remain on schedule and be able to deliver in the actual timeframe.
