Audience Analysis Paper

The audience of any communication is the prospective critics. For most assemblies, this is the most important consideration in designing, writing, and retrospection of a piece of work. An individual familiarizes himself with other's communication ability to be able to correspond to the requirements, point of interest or concern, and background of the reviewers who will be engaging in the piece of work. It is important to presume the informational needs of the audience, so that as the conversationalist, one can provide the kind and amount of information in a way that most efficiently communicates one's ideas.

Considering Characteristics of the Audience

Coaching, practice and background-awareness: One of the most important concerns is just how much thinking, practice, or training one can expect in the audience. While showing a quarterly sales statement, the audience in attendance must be made recognizable with the different products that the company is manufacturing, and also a bird's eye view at the goals and aims of the company, and what it aspires with the proper sale of its products.

Needs and interests: In planning a meeting, one should be able to realize what the audience is supposed to be anticipating from that assembly. How the audience will wish to use the meeting's objectives and what they can get from it must be greatly contemplated and be taken into action. It is similarly necessary to think about what the audience anticipates from the meeting and also what they are not looking forward from the meeting.

Preparation is crucial to the realization of any meeting. It is necessary that the planner devise an agenda for the objective of setting up the meeting's proposal and aims. Just as crucial is preparing that agenda achievable beforehand to workers, so they may be prepared as well.

Ensuring everybody has an opportunity to be included in the activity is crucial to achieving a well-oriented discussion. This does not mean towards asking only if anyone is interested to share anything. Instead, considerations must be provided to make the meeting well-off and remarkable for even the most silent individual to have a say. Often times, an icebreaker, going around the table and explaining their existing work difficulties, is a relaxed and easy approach to have all and sundry to open their mouths and verbalize about their feelings and notions (Cranford, 2004). Once someone has contributed in this approach, they are more set out to share again as discussion continues.

Documentation of the affair and topics drawn out during the meetings and acknowledgements of results and conclusions is important for the objective of ensuring any future improvement of the meeting. Assisting with minutes or a precise and laconic memo or e-mail insinuating the solutions places the meeting's climaxes in survival, so as not to be so easily overlooked and ignored after the end of the meeting and after the outcomes are drawn (Eliot, 2009).

Eventually, closure of the loop at the next meeting, by fulfilling on the status of items discussed at previous meetings adds to reliability, to the aim and success of the meetings. This outcomes in the employees to attend the meetings diligently and consider them as a worthy way to utilize the time of the manager as well as the time of the employees.

Appropriate Communication Channels

Different means of business communication can be utilized in meetings. All the concerned professionals at hand at the meeting must be first given with a topic or a memo of what the meeting is all about. It must be disseminated to each and all in attendance in the meeting. The quarterly sales statement can be presented to the audience by means of providing them hard copies, or by the help of presentations or by the word of the mouth. Hard copies contain the different and distinct information needed to disclose the sales report of the organization. Initially, beginning from the start of the quarter to the end of it, along with the earnings, all information can be written down in the hard copy. Though, most of the time people do not have the tolerance and persistence to complete the entire content of the hard copy.
