- Manage all kinds of HR certificates.
- Instruct the team and prepare memos, circular and reports.
- Issue contracts of employment.
- Handling new employee's office and all their requirements.
- Manage the Administration Department in tracking the employee's presence and attendance.
- Managing all issues related to visas.
- Conducting follow up with departments as required.
- Conduct recruitment online procedures to locate resumes.
- Arrange interview appointments for candidates for respective department managers
- Data entry activities and other HR activities. Must introduce a new HR management System to simplify work
- Candidates must have a supervisory, communication & negotiating skills, the ability to work with all level of employee's / management.
- Creative Training plans and procedure for nominated employees and departments.
- Creating and managing polices and procedures for departments and group companies.
- Manage and create job descriptions for departments in coordination with the department managers for all departmental employees.
Job Summary:
To act as central administrative support for the HR Strategy and Policy unit. To maintain databases, administer systems, provide support to HR staff and clients, perform administrative and office management functions.
Major Responsibilities:
- Administrative / Office Management:
* Coordinate arrangements for strategy meetings by arranging logistical and equipment needs, catering, confirm attendance, prepare attendance registrar and book and prepare venues
* Communicate with staff and managers about strategy programs, process and logistics
* Support strategy team by providing administrative and system support and liaise with technical support and providers to ensure continuity of service.
* Provide administrative and secretarial support to the Manager of Strategy and Policy, as well as team members
* Create and maintain the action plans and meeting minutes for Strategy and Policy team & assigned projects
* Create and maintain records and tasks logs of actions (forms, system changes, manpower plans, etc) required for the Strategy and Policy team
* Assist the Strategy and Policy unit in preparing vendor procurement agreements for all outsourcing activities
* Produce reports on all Strategy and Policy programs and activities
* Assist in the preparation and control of the Strategy and Policy unit budget, and prepare expenditure reports.

Strategy Development, Implementation and Evaluation:
* Assist in the coordination of specialized programs and initiatives to assist KAUST achieve its strategy and objectives
* Work with senior staff to ensure that policies are updated, consistent and aligned with KAUST objectives, e.g. to promote a performance culture at KAUST
* Aid in coordination and monitoring activities related to specialized programs quality, outputs and services
* Support the yearly evaluation exercises to ensure that the HR strategy continues to be organizationally aligned and is contributing to the attraction, retention, performance, development and succession of the desired caliber of KAUST employees.
- Specialized Programs Development and Implementation :
* Aid in the develop of specialized HR programs and activities specifically catered to the KAUST culture and set of requirements
* Assist in the development, implementation and communication of specialized HR programs and activities, policies and procedures to relevant parties.
