During last week, I have studied how to improve communication skills and the ability of writing in various ways of business communications. The main task is to write an executive summary of apple's annual report in two steps: a draft and a final version. I spent one nights and two days to finish draft and final version respectively.
Though this is not the first time I wrote an executive summary in English, I still felt confused about how to start out. The moment I heard that everyone should read through the annual report before start writing a draft I was frightened cause it must be a tough task for me cause my mother language is not English. Even I studied in China, I was seldom asked to read an annual report of a company, so it was a big challenge for me. In order to save time on reading, I skimmed the annual report once and wrote down an outline of the report, then generalized the similar ones in one big point with subheadings. After this, it was easier for me to build a frame of the draft.
It was a long time for me to finish the draft. I was just sought the report again and again to find some valuable information and sketched it out .The most nerve-racking thing was to select out the essence from long paragraphs that was just repeating one thing.
On the next day tutorial, we were asked to form into a group to share and discuss everyone's draft. When I was reading others' drafts(especially we Chinese students'),I realized that almost every Chinese students' executive summaries were written without any subheadings including me. What's more, I left out some points that were important. With the help of other team members, I noted down some inadequate parts and made up more information from others' reports.
Before I started my final version, I reviewed the way my tutor teach me how to improve an executive summary. Combined with the group discussing, I finished my final version much more smoothly than written a draft.
In my opinion, this is totally a new task for me because I never experienced such a strict writing process before. From this task, I figured out that I always writing a task with Chinese way of thinking. As I mentioned,unlike students from western countries, Chinese students tend to write a executive summary in two or three paragraphs just without any subheadings. I have learned that it is quite useful to share everyone's views and ways of coupling with things, it helps you to revise mistakes and make progress more quickly than doing things on your own.
I have significantly developed my understanding of business communication. This makes me feel that people who write executive summaries are play roles that should not be neglected, they take important responsibilities at the same time. Any tiny mistakes could adversely affect one company's business.
