CHAPTER I

INTRODUCTION

Project Context

                Sales and Inventory System for Mt. Carmen Hardware and Construction Supply is a project that aims to provide Mt. Carmel Hardware and Construction Supply a quality system that will help them in keeping in check the stocks of their products and their sales records in their store in Antipolo. The project is under the principles of software development which, by definition, the process of developing a software through successive phase. The researchers thought of this system based on the problem that our client currently facing and in need to, which is keeping of records on their stocks and sales summary. Ms. Mary Angeline Cabal is the target users of the system, since Ms. Cabal is the owner and over-all supervisor of Mt. Carmel Hardware and Construction Supply. The system will eliminate the need of redundant checking of order slips and manual checking of their stocks in their warehouse. It will also reduce the needs of manually checking the customer receipts in totaling their sales.

        Mt. Carmel Hardware and Construction Supply function as a retail and delivery store that sells different kinds of hardware and construction supply products. They have two kinds of customers in regards to their type of service, the walk-in customer and cash on delivery customer. Though they have two types of transaction, they usually do these processes manually on their store.


Purpose and Description

        The sales and inventory system will serve as a computerized version of the processes of client’s information keeping which is in written format until today. This type of information keeping is always prone to many problems such as loss in the records when the paper it is written to is lost. Inconsistency in writing which provide redundancy in record keeping and inaccurate counts on stocks and sales summary. It also became hard to produce reports annually for it comes of redundancy in checking manually the items and sales. This system will store information of products that is stored in their warehouse and also the information about the sales of the Mt. Carmel Hardware and Construction Supply. It will also help them when it comes to stock-in and stock-out of each product that they ordered from suppliers and sold to their customers.

        On this way, Ms. Cabal does not need to read and manually check the stocks of their products and customer receipts of their store. Sales and Inventory System for Mt. Carmel Hardware and Construction Supply can have multiple users so that Ms. Cabal can assign roles to their staffs in operating the system. Though the system can have many users, it can distinguish which user is accessing the system by recording everything the user has done in the system; from logging-in and out of the system to printing of documents and reports.

        The benefits to be obtained for this system were:

  1. Track sales and expenses
  2. Management of the inventory of products
  3. Keeps accurate records of daily transactions and report about the volume of the stock
  4. Monitor your sales records and alert you when stock is running low
  5. Can easily see record of past transaction

General Problem

        The only way for the Mt. Carmel Hardware and Construction Supply of recording their stocks of products and sales was in written slip or customer receipts. Other than that, they have no means of keeping track their records in the stocks and sales in their store. Generating sales and inventory reports by combining the order slips they have collected and causing redundancy in checking each of it.

  1. How to design and develop a Sales and Inventory System that is capable of tracking the sales and inventory of Mt. Carmel Hardware and Construction Supply?
  2. How to design and develop a system that will monitor their number of items in their own store?
  3. How to design and develop a system that will store the sales information for the record of their past transaction?
  4. How to establish a connection for each computer in their store?
  5. How to generate a report about the list of products that goes inside and outside of their store based on customer and supplier transactions?
  6. How to generate a report that will show the list of products that needs to get re-stocked based on the critical level they had set on it?
  7. What are the specific steps to undertake in order to eliminate errors in generating a sales and inventory report?
