Business process architecture can be defined as the framework of all processes in an organization and their interrelationships. (Dijkman, et al., n.d.) It is the basic artifact of process management and improvement of the organization. Business process architecture is the documented and accepted understanding of the dependencies and relationships within the company and its employees or departments. (Tregear, 2015 )
The importance of a written business process architecture is above the dubious level. It is a significant and consistent help for a strategic and operational management in a company, keeping a focus on regular, continuous improvement and delivery of excellent and fruitful service or product. (Tregear, 2015 ) It is undeniable that a proper process architecture is very important and helpful for Jenny, as it will help to keep focus on external delivery, rather on internal organization. Implementing Enterprise Resource Planning or ERP, Jenny could help her business streamline variety of processes, make an entry of each item, and track them on a regular basis. She will gradually understand that it reduces operating and overhead expenses. To avoid confusions between departmental authorities, ERP ensures that all information is maintained in a consistent manner. It is an integrated software package which is capable of accessing and sharing common information in real time (Tsai, et al., 2010). It includes Supply Chain Management, Customer Relationship Management, and Financial Management. Data is maintained at a central location and shared with various departments. Departments have access information/data of other departments round-the-clock. Moreover, ERP eliminates the duplication, discontinuity and redundancy in data and provides information across departments in real time. ERP provides control over various business processes which in turn increases productivity, better inventory management, prompts quality, reduced material cost, effective HR management and boosts profit. It will also ease Jenny to have a better understanding of the performance of every individual employee. (Krippa, 2011 )
Jenny should opt for a quick response management (QRM), which looks at how lead times across the company can be reduced to increase productivity and covers every step of demand, shipping, finance and human resource. (Murray, 2016 ) QRM focuses on gaining time from order to delivery, which results in shorter gap of time between lead and delivery. This definitely satisfies customers as they get a faster delivery. (Ede, 2007) There is a lot of time wasted in the inter-departmental communication of informing and updating about a single demand. By adopting QRM and analysis techniques and tools, Jenny will be able to respond to her customers time-effectively. Everything from present should be updated and worked on the internal database. Thus, she should take a call on the number of computer sets and the internet connectivity. Avoiding anything on pen and paper, Jenny should maintain an online record from the beginning of the receiving of the demand till the delivery of the product. This process will diminish the time taken of writing everything in paper and delivering the information in person, while also ruling out the fact of overlapping any message. Jenny should also maintain a database of her customers, which will be more professional and hardly will there arise any chance of a wrong address. This process will also help Compostwiz Pty Ltd to be always prepared with enough stock so that customers can never face a problem of delayed service due to unavailability.
